Minutes of the Annual General Meeting of Freeland Parish Council held on Monday 11 May 2009 in the Methodist Chapel, Freeland, in the County of Oxfordshire at 8.00 p.m.

PRESENT:Councillors:  Janet Dalton, Linda Day, Peter Newell, Bill Pinkerton, Martin Shann & Joyce Williams. District Councillor: Colin Dingwall; County Councillor: Louise Chapman;  Officer: Clerk

1.APOLOGIES FOR ABSENCE:  Bill Phillips, Toby Morris.

2.DECLARATIONS OF INTEREST FOR MATTERS TO BE CONSIDERED – none

3.ELECTION OF CHAIRMAN FOR THE ENSUING YEAR

There being no other nominations, Bill Pinkerton, proposed by Peter Newell, seconded by Linda Day, was unanimously re-elected Chairman for the coming year.

4.ELECTION OF VICE-CHAIRMAN FOR THE ENSUING YEAR

There being no other nominations, Peter Newell, proposed by Janet Dalton, seconded by Linda Day, was unanimously elected Vice-Chairman for the coming year.

5.APPOINTMENT OF REPRESENTATIVE FOR THE PARISH COUNCIL ON THE VILLAGE HALL COMMITTEE

Joyce Williams, proposed by Janet Dalton, seconded by Peter Newell, was re-appointed as representative for the Parish Council on the Village Hall Committee.  

6.EYNSHAM CONSOLIDATED CHARITY

It was noted that Mrs Kershaw’s 4-year term as representative of the Parish Council to serve as a trustee on the Eynsham Consolidated Charity would continue until September 2009.  As this would expire this year, it was agreed to contact Mrs Kershaw to invite her to continue.  Joyce Williams agreed to speak to Mrs Kershaw and would let the Clerk know her response.

7.APPOINTMENT OF INTERNAL AUDITOR

Councillors were pleased to note that Peter Gill would continue as Internal Auditor for the coming year, but he may not be able to continue beyond that period.

8. APPOINTMENT OF SUB-COMMITTEES

(a)Playpark Committee: There being no plans for new play equipment at the present time no appointments were made to this committee.

(b)Cemetery Committee:   Linda Day, Bill Phillips and Joyce Williams would continue as members of this committee, with Peter Newell as Chairman.

(c)Village Hall Committee:  It was agreed the membership of this Committee would be reviewed at the next meeting of the Village Hall Committee.

(d)Internal Audit Committee:  This year it was agreed that Martin Shann and Linda Day would carry out the internal audit review.

There being no other business the meeting ended at 8.10pm.
